The P-CEP Band Program is thrilled to announce our upcoming spring trip to Disney World in Orlando, Florida, taking place in May 2027. General Trip Info

Why are we taking this trip?

This trip provides students with unique performance, educational, leadership, and travel experiences. Students will represent P-CEP while performing down Main Street in Magic Kingdom, record movie soundtracks in Universal Studios’ Sound Design: Art of Foley workshop, and enjoy world-class attractions alongside fellow band members from the band program. The performance and workshop opportunities will take students behind- the-scenes at both Walt Disney World and Universal Studios, an experience not offered to the general public. 

 

Who is eligible to attend?

Any student enrolled in a participating PCEP band program (including colorguard) who remains in good academic, behavioral, and financial standing may participate.

 

What parks will students visit?

  • Disney's Hollywood Studios

  • Disney’s EPCOT

  • Universal Studios Florida

  • Universal Studios: Islands of Adventure

  • Universal Studios: Epic Universe

 

This trip takes place during the school year. Will my student be excused from classwork during this trip?

Students will receive “school business” absences for the school days that occur during the trip. Students will be encouraged and expected to communicate with all of their teachers well in advance of travel to make academic arrangements. Students will have very little (if any) time to complete assignments on this trip, so planning ahead will be essential!

Trip Cost & Payment Info

What is included in the trip cost?

  • Five nights of hotel accommodations

  • Admission to Disney and Universal Parks

  • Daily hotel breakfast

  • Lunch and Dinners throughout the trip

  • Magic Kingdom Parade Performance (once-in-a-lifetime opportunity!)

  • Universal Studios Sound Design Workshop (once-in-a-lifetime opportunity!)

  • Charter transportation in Florida

  • Music Travel Consultants Tour Director support throughout the trip

  • Airfare (PLEASE NOTE: airfare is currently not included in the current trip cost; airfare will eventually be announced and paid to MTC)

 

What is not included in the trip cost?

  • Souvenirs and personal purchases

  • Additional snacks or meals beyond the provided allowances

  • Optional travel insurance

How much is the trip? 

The table below gives a cost estimate for the trip based on the number of travelers and hotel occupancy. Please note that this estimate DOES NOT INCLUDE AIRFARE. This cost is applicable for both chaperones and students that wish to attend the trip.​​​​​​​​​​​​​​​

Payments are made directly through Music Travel Consultants (MTC) according to the payment schedule provided during registration. No payments will be made to the Plymouth-Canton Music Boosters for this trip. 

 

Here is a sample payment schedule (not finalized) of how the trip installments can be paid. Exact installments and payment plans will be presented via MTC when you complete the initial registration and non-refundable deposit.​

​​How much spending money should students bring?

Every family is different, but most students bring between $100 and $300 for souvenirs, snacks, and personal purchases beyond the provided meal allowances. (Tip: Disney and Universal gift cards make great holiday/birthday gifts throughout the year, and sometimes go on discount at wholesale stores!)

 

​Can fundraising be used toward the trip?

Yes! The Plymouth-Canton Music Boosters will advertise fundraisers throughout the year that are eligible for application toward trip balances. Families may also use MTC's Gift Link platform to receive contributions from family and friends (similar to GoFundMe). Note: PCMB only offers “group fundraising”, which means that fundraisers will go toward the overall trip cost, not individual accounts. 

 

What happens if my student can no longer attend?

The initial payment is a non-refundable deposit made to MTC. Payments made after this deposit are subject to MTC’s cancellation policies. Families should review cancellation policies carefully and consider purchasing MTC’s travel insurance. Any questions regarding financial obligations should be communicated with MTC.

 

What is the last possible day to register for the trip?

MTC will keep the registration open as long as possible. The earlier you register, the more time you have to make payments for the trip!

Accomodations

Where will students stay?

The group is scheduled to stay at TownePlace Suites in Winter Garden, Florida. Students will have a hotel-provided breakfast each morning and will have opportunities to swim in the hotel pool (if desired). Students will be transported to and from the hotel each day to the parks.

 

How are roommate assignments determined?

Students will have the opportunity to sign up for their trip rooming assignment. Final rooming assignments are made by the directors and may be adjusted to ensure student safety, supervision, and balanced room occupancy.

 

What should students pack?

We will release a detailed packing list as the trip gets closer! Students should keep in mind that they will be responsible to keep track of all of their personal belongings, and move it to/from the hotel and parks.

Performance & Workshop Opportunities

When will the band perform?

The combined PCEP Band is tentatively scheduled to perform in the Magic Kingdom parade on Tuesday, May 18, 2027. Exact times will be confirmed as the trip gets closer.

 

What is the Sound Design: Art of Foley Workshop?

Students will participate in a hands-on workshop at Universal Studios where they will learn how music, sound effects, and audio production are used in movies and animation! This is a behind-the-scenes experience that is only offered to students who are a part of a performing ensemble.

 

Can parents attend the Disney parade performance?

Yes! Family members who choose to travel independently may purchase their own park admission and watch the parade performance from Main Street, U.S.A. Please note that no parents (including chaperones) are allowed backstage during parade preparation at Magic Kingdom or during the Art of Foley workshop at Universal Studios. The Directors will serve as the designated chaperones during these times.

 

 

My student is not in the marching band, but I see the only public performance is the parade. Can my student still go on the trip?

Yes! Similar to the Memorial Day Parade, we will combine into one “PCEP BAND” Program to perform at Disney. All students attending the trip will learn the “basics” of moving and performing to feel confident in their Disney World performance. The Art of Foley is in the traditional “concert band” setting, where students will sit and play.

Health & Safety

How are meals handled during the trip?

Breakfast is provided daily at the hotel. Students will have the opportunity to purchase their own lunches and dinners while exploring in the park using Disney Dining Cards and Jassby meal cards (included in the cost of the trip). The entire traveling group will enjoy a private group dinner at EPCOT. Students may choose to spend additional personal money if desired.

 

How are medications handled?

Plymouth-Canton Community Schools medication policies remain in effect during the trip. Students may only self-carry medications if proper medical authorization forms are on file with the school. Additional medication procedures will be shared before departure.

 

Can students explore the parks on their own?

Students are NOT permitted to travel alone at any portion of the trip. At a minimum, students must always be with a “buddy.” Throughout the trip, students will have the opportunity to explore the parks in groups of their choosing. Frequent digital and in-person check-ins will require students to provide photographic evidence that they are within the designated amusement park and with a group of students.

 

How will attendance be taken during the trip?

Attendance will be monitored throughout the trip using the BAND App, scheduled check-ins, room checks, chaperone accountability groups, and director supervision. Students are expected to respond promptly to attendance requests and follow all reporting procedures established by the directors.
 

What happens if a student gets separated from their group?

Students will receive emergency contact information and procedures before departure. If separated from their group, students should immediately contact a chaperone, director, or designated trip leader.

Family & Friends

How many chaperones are allowed, and how do I sign up to chaperone?

There are no limits on the number of chaperones for this trip! When registering your student for the trip, you will also see an option to register as a chaperone. Chaperones will need to complete an iCHAT background check with PCCS during the 26-27 school year.

 

Is there a “friends and family” discount for the trip?

Stay tuned! This is an option we have offered in the past and will offer again if enough “friends and family” are interested!

Code of Conduct

What are the consequences for serious misconduct?

All students will be held to the P-CCS Code of Conduct and P-CEP Band Travel Policies for the entire duration of the trip (from the time we depart for the airport until they are picked up at Plymouth after the trip). 

 

Students are expected to adhere to all policies in place at each trip location (including the airport, hotel, and amusement parks). Students who violate any P-CCS, P-CEP Band, or trip location policy may face the following consequences:

  • Immediate removal from the P-CEP Band Disney Trip (being sent home at a parent/guardian’s expense)

  • Financial obligations for any damage/destruction of property

  • Removal from future P-CEP Band events, activities, and/or ensembles

  • Disciplinary action from P-CCS and/or law enforcement

Trip Communication
& Updates

How will students and families receive trip updates leading up to the trip?

Official trip updates and information will frequently be shared with all PCEP Band families via email, booster meetings, and in-class announcements while registration for the trip is open. Information will also be shared on the PCMB.net website (https://www.pcmb.net/disney-2027) 

 

Once trip registration closes, trip updates will only be shared with students and their families who are registered for the trip via email from the directors.

 

How will students and families receive trip updates while on the trip?

The PCEP Band will use the BAND App throughout the trip to communicate important information, attendance checkpoints, schedule updates, reminders, and emergency notifications. Students are expected to keep notifications enabled and regularly check the app throughout the trip.
